Nothing is kept
Notes in heads and notebooks. The follow-up depends on who was paying attention.
Client calls, team meetings, the Monday all-hands, demos, phone calls. Decisions and promises made out loud, maybe even transcribed, and then they go nowhere. Voice Memory keeps every work conversation in one place your team can actually ask, and makes the follow-up happen on its own.
Built for organizations that have outgrown "someone will sort it."
Uses the meeting tools you already pay for. No gadgets required.
Answered in 6 seconds, citing Monday's kickoff at 14:32.
Most organizations we meet are already recording.
The transcript exists. Nobody can use it.
Works with the meeting and phone tools you already pay for.
We switch on what's built in first. Nothing new to learn,
no "notetaker" bot joining your calls.
Most organizations don't have a recording problem. They have a routing problem. The words are captured and then they sit in an inbox, in one person's Otter account, in a folder nobody opens. We connect what's said to where it's needed.
Said once.
Remembered by everyone.
Everyone is told. Anyone can opt out. Nothing is secret.
Recording is the easy part. Remembering, and doing something with it, is what's missing.
Notes in heads and notebooks. The follow-up depends on who was paying attention.
Teams or Otter emails a transcript after the call. Then nothing.
Every conversation in one memory. Ask it anything. To-dos, briefs and client notes flow out on their own.
We start with the meetings and tools you already have, add the phone, work out every place that knowledge should show up, connect the two, and keep it running.
Teams, Meet and Zoom already record and summarise; we turn that on properly for client calls, team meetings, all-hands, demos and kickoffs. Then the phone. In person, a phone on the table does the job. Each person spends five minutes teaching it their voice so notes say "Sarah said", not "Speaker 3". And we retire the other apps staff quietly signed up for.
Everything stored in the files you already use, with the same permissions. Then an AI assistant that answers from it and shows which conversation the answer came from. Decisions and to-dos go straight into your task list with a name and a date. Notes land in the right client folder. Briefs show up before the call.
A call that didn't record, a to-do that came through twice, a broken connection, someone who shouldn't have access: fixed before your team notices. A monthly quality review on real notes and answers. New features switched on as the tools change. We only use tools you can export from, and keep a copy.
Measured, not promised. Every one of these is checked with you before we call it done.
"What did we promise them?" "Who owns this?" Answered in seconds, citing the conversation it came from. Twenty of your real questions are tested before launch.
To-dos appear in Asana, Planner or monday with a name and a date. Notes land in the client folder. A one-page brief turns up before every client call.
Holidays, departures and new hires stop costing you what the organization already knew. The all-hands nobody could attend, kept and searchable.
Microsoft 365 and Google Workspace both offer Canadian routes. We set it up that way when it matters to you.
Canadian privacy law requires that people know and agree. So do we. These four rules are agreed in week one and shared with your whole team.
People are told, every time, including clients on a call. No secret recording, ever.
Any person in any conversation can ask for it not to be kept. No reason needed.
HR conversations, legal advice, personal matters, and anything you add to the list.
You choose how long conversations are kept. We suggest two years. After that they're gone.
The prompts, the agents, the rules, the templates, the data and the accounts. Everything is set up in your tenant, in your name. Leave any time and take all of it; nothing GoodOps builds is a reason to stay.
Three questions: where do your meetings happen, where does that information need to go, and which tools do you use today (and which have you already tried and hated)? Every tool lands in one of four states. That list is the plan.
We switch it on properly and set the rules.
e.g. Teams recap, Gemini in Meet, Zoom AI CompanionWe connect it to the memory, the task list and the CRM.
e.g. Otter that emails recaps nobody readsWe bring the history into one place and retire the rest.
e.g. Fireflies + Fathom + a shared phoneWe leave it alone and plug it in.
e.g. Your task list, your CRM, your file systemGoodOps' own sales calls are captured the same way, and the memory writes our proposals. The demo is the real thing.
You approve before we move to the next step. We start with one team or one cycle, prove it, then roll it out to everyone.
House rules agreed and shared. Recording switched on for every meeting type, stray apps retired, voices enrolled. Fifty real conversations captured and checked.
One team that volunteers gets the full system: memory, assistant, to-dos, briefs. Twenty real questions answered correctly.
Team-by-team rollout, short training sessions, a simple owner's guide, 14 days of fixing anything that breaks.
Runs on your GoodOps retainer. Daily checks, a monthly quality review, new features switched on as the tools change.
Then Voice Memory runs on your GoodOps fractional retainer. Set-up and migration of your note-taker is part of the module, not an extra line.
Software: On Microsoft 365 the AI assistant is now built into the Business plans; Google Workspace Business includes Gemini. Most organizations add little or nothing.
The things owners ask us on the first call.
Those tools record and summarise, and we'll probably keep whichever one your team actually uses. What they don't do is put every conversation in one place you can ask a question, or send the to-dos into your task list on their own. That's the part we build.
No. For most organizations almost everything happens on Teams, Meet, Zoom and the phone, and those already record. For the occasional in-person meeting, a phone on the table does the job.
Yes, when people know and agree. Canadian privacy law requires that participants are told and consent is meaningful, including clients and callers. We write those rules with you in week one and build them into how the system works. General information, not legal advice.
They do when a bot nobody introduced appears in the call. They don't when it's the built-in recording they already know, the rules are clear, and anyone can say "not this one". HR, legal and personal conversations are excluded by rule.
In the file system you already use, with the same permissions it already has. If someone couldn't open the folder before, the assistant won't answer them from it either. Both platforms offer Canadian data routes.
The 30-minute mini-diagnostic is free. From it you get a fixed price for the eight-week set-up, typically CAD 10,000–20,000 depending on how many teams and meeting types you have, with your note-taker set-up or migration included. Once live, it runs on your GoodOps retainer.
Book the 30-minute mini-diagnostic. We'll sketch where your conversations happen, where last Monday's recap actually went, and give you a four-state plan for every tool.
A conversation about your organization.
Not a demo of software.
